Third-Party Housing Verifiers and ESA Letters in Texas: What Renters Should Know

Some housing providers use an outside platform to collect or review assistance-animal accommodation information. Learn what that step may involve, how to protect your privacy and where verification support fits.

What a third-party verifier does

A housing provider may use an outside platform to receive accommodation requests, organize documents or coordinate administrative review. A verifier is not your clinician and does not decide your clinical needs or issue your ESA letter.

What may happen during verification

Processes vary. A platform may check whether supporting documentation is authentic and relates to the accommodation request. It may ask the issuing professional to confirm limited information. Follow the housing provider’s instructions and ask questions about anything unclear.

Documentation is not guaranteed.

A provider makes an independent clinical decision, and a housing provider makes its own accommodation decision.

Protect your privacy

Confirm the request came from your housing provider or an authorized service. Review what the portal asks for, use the stated secure method, and avoid sharing detailed medical records or unrelated health information unless your provider confirms it is appropriate.

Platforms and housing procedures

Residents may encounter platforms such as PetScreening, OurPetPolicy or RealPage products. Their roles differ. Ask your property which team reviews the accommodation and what documents it needs. A platform review is not automatically the housing provider’s final decision.

Texas Service Animals verification support

After documentation is issued, our team can help coordinate a response to a legitimate administrative verification request within the scope of the issued documentation and applicable privacy requirements. This support is included; standard processing applies and expedited completion is not guaranteed.

What to review before you submit

Read the housing provider’s instructions and note what the platform is collecting, who will review it, and whether there is a deadline. A verifier may ask for the provider’s signed letter or request limited confirmation that a document is authentic. It should not be treated as the clinician or as the final decision-maker on the accommodation. Keep a copy of your request, submitted documents, platform messages and any response.

Share only what the process requires

Clinical records can contain sensitive details that go beyond what is needed for an accommodation review. Use the platform identified by your housing provider, confirm that a request is legitimate, and ask the provider how information will be used if the scope is unclear. Do not send detailed health information through ordinary text or email. If a verifier asks for something that seems unrelated, ask the housing provider to explain the request before sharing more.

A practical renter checklist

Before submitting, confirm the correct property contact, the accommodation-request channel and any stated timeline. Submit the letter or form the provider requested, save a dated copy, and respond to reasonable administrative follow-up. If a third-party platform is involved, record its name and support contact. Verification can help confirm paperwork; it cannot guarantee approval or replace the housing provider’s review under the rules that apply.

Ask who makes the decision

A screening portal may collect documents or help organize a request, while the housing provider remains responsible for its accommodation review. Ask the property which office handles the final decision, how to contact that office, and whether the platform is required for every resident. Save the answers with your other housing correspondence.

If a portal requests more information

Read each field before submitting and ask the housing provider why a requested item is needed if it is unclear. A verification question is different from a request for a full clinical record. Share only information relevant to the accommodation process and use the official secure channel identified by the property.

Keep an organized record

Save the date of your original request, the documents you provided, portal confirmations, follow-up questions and the housing provider’s response. If you speak by phone, note the date and the person or department you spoke with. A clear record can help you follow up and explain the history if a question arises later.

Verification does not replace clinical judgment

A platform cannot conduct your evaluation, decide whether a letter is clinically appropriate or make a dog a trained service animal. The provider who evaluates you makes the clinical decision; the housing provider reviews the accommodation request. Each role is separate, even when a third-party service participates in document handling.

Housing portals and verification services

Some communities use a third-party service such as OurPetPolicy, PetScreening or a RealPage/LeasingDesk portal to collect or review housing information. The exact workflow depends on the property and can change. Confirm with your housing provider which portal is authorized, use its assistance-animal request path, and review the service’s current instructions. A platform may help handle documents or recommend a next step; it does not conduct your clinical evaluation or make the housing provider’s final decision.
